Video session and whiteboard

How an appointment by video works, how to invite another person and how to work with the whiteboard, systemic board and cards.

The appointment page

For every upcoming video appointment, the room shows “Go to appointment”. This opens the appointment page. The whiteboard fills the screen, and the video floats above it. You can open the page at any time, including beforehand to prepare. The client only gets in shortly before the start. “Back to room” takes you back.

A video is coming soon It only loads when you tap play.
An appointment with video and whiteboard

With video in the room

If you have chosen “Video in the room” under “Times and video link”, the session runs directly on the appointment page. Before the appointment, the video counts down the time until the room opens.

  1. Click “Start video”. Allow camera and microphone if the browser asks.
  2. When the client knocks, you see their pseudonym with “is knocking”. Click “Let in”.
  3. Use “Large video” and “Show whiteboard” to switch the view.

If a guest or a second person from the room is there, they knock too. In the session you all see and hear everyone else, each person in their own tile.

Picture and sound are not recorded. At the end, click “End appointment” at the top. The video then ends for everyone, and the whiteboard is stored. If you only want to step out briefly, use “Just hang up”.

If you use your own link, for example to Zoom, the appointment page shows a button such as “Open Zoom”. The video then runs in a separate window, and the whiteboard stays on the appointment page. The client finds the link in their room. If you have neither a link nor video in the room, there is no video on the appointment page.

With “Centre Zoom” it works the same way. “Open Zoom” then starts your meeting for this appointment, and you are the host. “End appointment” also ends the Zoom meeting.

Inviting another person

If someone joins an appointment, for example a partner, click “Invite another person” on the video appointment. You choose a person from “Case and people involved” who has an email address. Or you enter a new one under “Other address”. The “Name in the video” is optional. Without a name, the person is called “Guest” in the video.

The person gets an email with the time and their own link, without names and without content. They do not need an account. The link only opens the video and whiteboard of this appointment, no messages and no room. Ask the person beforehand whether that is all right for them.

“Withdraw” makes the link invalid. One week after the appointment, onlineberatung.digital deletes the invitation. If someone is to be in the room permanently, give them their own access, see Rooms and messages.

Whiteboard, systemic board and cards

At the top of the appointment page you switch between four surfaces. You work on them at the same time and see changes immediately.

Surface What you do with it
Whiteboard notes, pen, cards and templates on an open surface
Systemic board set up figures, animals and coloured cards on a board
Position cards place figures on a card that you choose
Prompt cards picture cards lie in a room, you walk through it and choose

Some things only you can do: insert templates, swap the board, choose a position card, shuffle prompt cards and lock figures. With “My view” the client sees what you are seeing right now. Under “Cards” you share a folder with “Share with the client”. The client can then place cards from it on the board themselves.

Preparing and after the appointment

Each appointment gets a new whiteboard. To prepare, click “Prepare whiteboard” in the “Whiteboards” card in the room. The client only sees it at the appointment.

After the appointment, the whiteboard stays unchanged in this card. The client can download it in their room as an image or PDF. You use “PNG” or “PDF” for this. With “Continue with a copy”, you carry on working on a copy at the next appointment, and the original stays as it was. During the appointment this also works via “Whiteboards” and “Continue here”. Empty whiteboards disappear by themselves.
