Setting up your centre

For centre leads. How your centre gets started, how to invite your team and what you find when managing your centre.

How your centre gets started

  1. You register your centre under Try it free: whether you are a counselling centre or have a private practice, plus name, town, counselling fields and your email address.
  2. You get an email, choose your password and set up sign-in with a second factor. This makes you the centre lead. The link in the email is valid for 7 days. If it has expired, write to us via Contact, and you will get a new one.
  3. You try it free of charge and invite your team. During the trial your centre does not yet have a public page. Please only test with made-up data.
  4. If you want to continue, get in touch via Contact. You sign a data processing agreement, and the platform operator adds the links to your legal notice and privacy notice. After that you can appear in the directory.

Would you rather see a demo first? A message via Contact is all it takes for that too.

Counselling centre or private practice

On onlineberatung.digital, every counsellor belongs to a centre. If you work on your own, you register a private practice. You are then centre lead and counsellor at once. A centre lead who counsels needs a licence.

This is how you appear:

Type In the directory On the counsellor profile
Counselling centre “Counselling centre in Krefeld” the name of your centre
Private practice “Private practice in Krefeld” “Private practice”

Made a mistake, or now working with others? In “Manage centre”, you change the type under “Public page” and “Edit”. More on this in Your centre's public page.

Managing your centre

In “My workspace”, “Manage centre” takes you to your centre. There you find:

  • Team: who belongs to it and in which role.
  • Cases without a counsellor: cases that nobody is handling right now, for example after someone has left.
  • Public page: how your centre appears in the directory, with a logo or picture.
  • Licences: how many you have booked and who has which.
  • Retention: when closed cases are deleted.
  • Invoices and your billing details.

At the top there are also the Statistics with figures on cases and contacts.

Inviting someone

Via “Invite someone” you enter a name, email address and role:

Role What they do
Centre lead manages the centre. If they also counsel, they need a licence.
Counsellor counsels and needs a licence.
Office creates in-person cases and keeps contact details and appointments up to date. The office never sees the case notes.

The person gets an email and chooses their own password. Counsellors then upload a photo. You can then approve them yourself, as described in Managing the team.

A video is coming soon It only loads when you tap play.

Licences and invoices

Every person who counsels needs a licence. You book additional licences and assign them. Billing is monthly in arrears. The highest number of booked licences in the month counts. Fewer licences apply from the next month.

What the centre lead does not see

The centre lead reads no messages and no case notes. They see who is handling which cases, and the figures in the statistics.
