Your centre's statistics
For centre leads. Which figures the statistics show, what is counted and what is not, and how to download them for a report.
Where to find the statistics
In “Manage centre”, “Statistics” at the top takes you to your centre's figures. Only the centre lead sees this page. The statistics cover all cases at your centre, in person and online, without names and without titles. You never see individual cases there.
At the top you choose the “Year”. onlineberatung.digital recalculates the figures every night and every time you open the page.
The key figures
| Key figure | What it counts |
|---|---|
| “Cases” | all cases that were open in this year |
| “of which new” | cases created in this year |
| “closed” | cases closed in this year |
| “Contacts” | sessions and other contacts, see below |
| “Hours” | the total duration of all contacts |
| “People” | everyone involved in the cases |
Below that are the breakdowns, each with number and percentage. Under “Cases and contacts” you find “Counselling field”, “Where counselling takes place” and “Type of contact”. Under “People” you find “Age”, “Gender” and “Place of residence”.
What is counted
- Cases: A case counts in every year in which it was open. So a case that runs over the turn of the year counts in both years.
- Contacts: Every entry in the case notes counts, with its duration. In addition, every appointment counts that took place and for which there is no entry on the same day.
- Type of contact: in person, video session, phone or messages, as the counsellor set up the entry. For appointments, their type counts.
- Where counselling takes place: “in person” for cases without online access, “with online room” for all others.
- People: Age, gender and place of residence come from “Case and people involved”. The age applies to the selected year.
- Counselling field: Online rooms from bookings do not have their own field. They count under the only field of the counsellor profile, otherwise under the only field of your centre. If there is none, they are listed under “no field”.
What is not counted
- Notes within the case notes.
- Appointments that were cancelled or are still to come.
- An appointment on the same day as an entry in the case notes. This way nothing counts twice.
- Individual messages in the room. They only count if the counsellor creates an entry of the type “Messages” for them.
- Names, titles, contact details and content. They never appear in the statistics.
A case without details about people counts as one person without details. Places of residence with only a few people are grouped under “other places” in the statistics, so that nobody can be identified.
Tip: The figures about people depend on what is entered under “Case and people involved”. Everything there is optional. Agree as a team what you enter, so that the figures are consistent.
Deleted cases
When a case is deleted after its retention period, it stays in the statistics with its last status, without names and without titles. This way the figures for the year remain correct later on. How long a year's statistics are kept is shown on the page under “How we count”. More on retention periods in Retention and deletion.
Downloading for reports
“Download as CSV” gives you the figures for the selected year as a table, for example for a funding report. The file contains the same totals as the page, not one row per case. It is prepared for Excel. Every download is logged, without content.
